TERMS & CONDITIONS
1. Terms
1.1 Meeting Place 2026 (Event) is operated by the Australia Tourism Export Council Limited, ACN 002 941 228 (“ATEC”, “us”, “we” and “our”).
1.2 By submitting a registration for Meeting Place 2026 (MP26) (Event), you agree that these terms and conditions, along with our Privacy Policy, the Event information on our website and any other policy we notify you of from time to time, govern your participation in this event (together, the “Terms”). If you do not agree to the Terms, you must not register or participate in the Event.
1.2 ATEC may elect to modify the Event or the Terms at their sole discretion and at any time. Any amendments are effective 7 days after we notify you of them. The Terms will prevail over any other terms of agreement between you and us.
2. Definitions
In these Terms, the following definitions apply:
(a) Delegate means a person registered to attend the Event.
(b) You or your means the organisation represented by the Delegate as noted in the registration form, along with its employees, agents and contractors, including the Delegate. Any breach of these Terms by an employee, agent, contractor or Delegate constitutes a breach of these Terms by the organisation.
(c) Event Partner means Tourism Tasmania (TTas)
(d) Participation Fee means the relevant participation fee payable by a Delegate to register for the Event as set out on the Event website.
(e) Personal Information means any personal information used to identify an individual such as name, email address and any other details.
3. Registration and payment policy
3.1 To be registered for the Event, each Delegate must register and pay the Participation Fee. The registration is not complete until the Participation Fee is paid in full.
3.2 Please refer to the Event website to note the items included in your registration.
3.3 We accept Mastercard, Visa and American Express payments unless you make a prior payment arrangement with us.
3.4 Mastercard, Visa and American Express credit card payments will incur a surcharge of 2% surcharge.
3.5 If you are unable to pay via credit card, please contact events@atec.net.au noting full payment must be received by 1 October 2026. The acceptance of registrations after this date is at ATEC’s sole discretion and the Delegate must make full payment prior to the Event commencing.
3.6 Buyer Delegates are responsible for booking and managing their own flights to and from Tasmania for the Event. The Event Partner will subsidise the cost of Buyers' flights and will notify each registered Buyer of the dates and location(s) of the Famil to which they have been allocated (if participating) within a reasonable timeframe following receipt of the Buyer's registration. This will enable the Buyer to book flights at the earliest opportunity. To support travel costs, the Event Partner is offering a standard flight subsidy of up to $400 (excl. GST) per buyer. The Event Partner may, at its sole discretion, approve a higher amount where the Buyer has taken reasonable steps to minimise flight costs and the actual airfare reasonably exceeds $400. The subsidy applies to airfares only and excludes excess baggage and travel insurance charges. The Event Partner may decline a claim where, in its reasonable opinion, the airfare was not competitive given the advance notice provided. The Event Partner shall reimburse the Buyer within 21 days of the conclusion of Meeting Place 2026, subject to the provision of relevant airfare receipts.
4. Cancellation policy
4.1 If you are no longer able to attend an ATEC event, written notification of your cancellation must be emailed to events@atec.net.au and refunds will be issued as follows:
4.1.1 Cancellations received prior to 31 July 2026 will receive a full refund.
4.1.2 Cancellations received between and including 1 August 2026 to 30 August 2026 will receive a full refund less a 25% administration charge.
4.1.3 Cancellations received between and including 1 September 2026 to 30 September 2026 will receive a 50% refund.
4.1.4 Cancellations received on or after 1 October 2026 will receive no refund.
4.2 If you do not attend the Event or any activity organised and/or operated by ATEC or a third party related to ATEC, whether it is paid for and arranged by ATEC or yourself and do the following:
4.2.1 Provide a week or less than a week’s notice of your non-attendance, or
4.2.2Provide no notice to ATEC of your non-attendance,
then all Event costs incurred by ATEC, it’s event partners and its suppliers as a consequence of your non-attendance will be payable by you.
4.3 If any services such as but not limited to accommodation, tours, experiences, attractions or transfers are included within your registration, ATEC and or its event partners reserve the right to allocate the service quality and type without Delegate consultation or negotiation. Should the Delegate be unsatisfied with such allocations, they can independently negotiate and fund alternatives with the venue providers of those services being but not limited to accommodation, tours, experiences, attractions, or transfers, but no refunds of the Participation Fee will be given.
4.4 You are not entitled to a cancellation of an event, a refund, or a change of your reservation to an alternative reservation for any reason, including if the quality of any services relating to the Event is not satisfactory to you.
5. Attendee policy
5.1 To be eligible to participate in any aspect of the Event or an activity organised as part of the Event that is operated by a third party at any location or venue, whether it is paid for and arranged by ATEC or yourself, you must:
5.1.1 Be a current financial ATEC member at the time of the Event, and
5.1.2 Have registration to the Event or activity you are attending that has not been cancelled, or
5.1.3 Be a non-financial ATEC member and have a written invitation from ATEC to attend the Event or related activity, and/or
5.1.4 Be a non-financial ATEC member and have a written invitation from ATEC to attend a B2B event.
5.2 If you are invited to join a waitlist for any reason, your place to attend is not formally confirmed until you are advised in writing by the ATEC team and full payment is received.
5.3 If 1:1 business to business (B2B) appointments are included as part of your registration, the number of appointments stated on the website is a maximum and the number you ultimately receive is not guaranteed. This is regardless of the way that your appointment schedule is curated (which may or may not include a system generated appointment schedule).
5.4 Cancellations will not be accepted for any reason, including if you are not satisfied with your appointment schedule, for example, if you receive less appointments than anticipated or the quality of your appointments falls below your expectations.
5.5 Delegate details can be changed or updated by emailing events@atec.net.au. Any changes made to Delegate details after 1 October 2026 will incur a $250+gst change fee per change.
5.6 Registrations can be transferred between people from the same organisation by emailing events@atec.net.au, subject to the following terms:
5.6.1 Transfer of non-buyer Delegate registrations: Will incur a $250 +gst change fee from 1 October 2026.
5.6.2 Buyer Delegate registrations: Cannot be transferred after 1 October 2026. Please refer to clause 4 for the cancellation policy.
6. Photography and filming
6.1 For promotional purposes, there may be a professional photographer and/or video production taking place during ATEC events. Delegates who do not wish to be filmed or recorded should advise the ATEC by emailing events@atec.net.au prior to the event.
6.2 Photos taken at ATEC events may be published online, available to download and/or used in marketing materials to promote the ATEC’s services.
7. Privacy and data sharing
7.1 When you register, you will provide us with Personal Information. Please ensure that all Personal Information is accurate and current. We will handle all Personal Information we collect in accordance with our Privacy Policy. We may disclose the Personal Information to third parties that help us deliver the Event or as required by law, including but not limited to the Event Partner. By providing Personal Information to us, you consent to the collection, use, storage and disclosure of that Personal Information as described in these Terms.
7.2 The Event is facilitated by event management services provided by EventsAir. By registering and attending, you acknowledge that any information you provide may be shared with EventsAir. The EventsAir privacy policy can be found here.
7.3 You acknowledge that your contact details may be shared amongst attendees at the event. If you do not wish for your details to be shared, please contact events@atec.net.au.

8. Your obligations
8.1 At a physical event, the health and safety of event participants and the broader community are important to us. For purposes of your participation in the Event, you agree to:
8.1.1 Adhere to the relevant government health and work safety advice
8.1.2 Adhere to ATEC's and the operators' health and safety guidelines based on best practice and relevant government health and work safety advice; and
8.1.3 Undertake to sign and agree to any related health and safety guideline documents or forms issued by ATEC and/or the event venue/organiser.
8.2 You warrant that:
8.2.1 You will at all times comply with all laws and obey the reasonable directions and requirements of ATEC, any event partners, organisers and any other third parties as directed by ATEC;
8.2.2 You will not be involved in any conduct or make any statement either orally or in writing which in the reasonable opinion of ATEC, is likely to cause detriment, disrepute, damage, injury or loss to ATEC, including without limitation any inappropriate behaviour, harassment, violence, racial vilification, intoxication, downloading illegal or offensive material using internet services provided during the Event, or any other act or behaviour which interferes with the enjoyment, comfort or safety of other persons;
8.2.3 You will conduct yourself in a responsible and professional manner at all times;
8.2.4 You will ensure that your attendance at the event is covered under a Public Liability insurance policy with a limit of at least $10m for each occurrence. You agree that a Certificate of Currency will be provided to ATEC on request.
9. ATEC Limitation of Liability
9.1 ATEC does not:
9.1.1 Accept responsibility or liability for any loss or injury suffered by you or your visitors.
9.1.2 Provide or arrange for any insurance for, or on behalf of, you or your visitors.
9.1.3 Provide any indemnity for loss or injury suffered by you or your visitors.
9.2 ATEC may at any time, with or without giving notice, in their absolute discretion and without giving any reason, cancel or postpone the Event, change its venue(s) or any of the other published particulars, or withdraw any invitation or cancel any registration to attend. In any case, neither ATEC nor any of their officers, employees, agents, members or representatives shall be liable for any injury, loss, liability, damage or expense suffered or incurred by any person occasioned by or arising out of attendance at the Event or any related event or activity. If the Event is cancelled or an invitation withdrawn, ATEC has no obligation to return any money paid to it in connection with the Event unless ATEC is satisfied not only that the money in question remains under the control of ATEC but also that the person who paid it has been unfairly prejudiced (as to which, decision shall be in the sole and unfettered discretion of ATEC and, when communicated or announced, final and conclusive).
9.3 Without limiting the effect of clause 9.2:
9.3.1 ATEC is not liable for any delay, variation of, or cancellation of the Event or any obligation under these Terms, caused by any government health advice including pandemic, or any policy, rule or law created in response to a pandemic by any of ATEC, a government, or government agency.
9.3.2 ATEC is not responsible for any injury, loss, liability, damage or expense suffered or incurred by any person arising out of the use or misuse by ATEC or a third party of any of your Personal Information.
9.3.3 you acknowledge that these Terms also apply to your participation in the Event or any activity organised as part of the Event that is operated by a third party at any location or venue, whether it is paid for and arranged by ATEC or yourself, and agree that:
9.3.3.1 Use of third-party services may include activities that involve an element of danger, and these Terms constitute fair warning of any such danger, and that ATEC recommends you take out comprehensive and or travel insurance with respect to such activities;
9.3.3.2 Neither ATEC nor any of their officers, employees, agents, members or representatives are liable for any injury, loss, liability, damage or expense suffered or incurred by you while participating in a dangerous activity or any activity organised in relation to the Event, whether operated by ATEC or a third-party;
9.3.3.3 ATEC is not responsible for any loss suffered by you due to any third-party being unable to fulfil an arrangement or obligation between themselves and you or ATEC;
9.3.3.4 Participation in events or activities operated by third parties may require you to agree to and be bound by those parties’ own terms and conditions.
9.4 Without limiting to the general effect of 9.2, you acknowledge that these Terms also apply to your participation in the Event or any activity organised as part of the Event that is operated by a third party at any location or venue, whether it is paid for and arranged by ATEC or yourself, and agree that:
9.4.1 You are responsible to notify ATEC or a third-party providing services for the delivery of the Event for any allergies or pre-existing medical issues that may affect you whilst participating in any activity or any activity in relation to the Event, whether operated by ATEC or a third-party affiliated entity.
9.4.2 ATEC is not responsible for any actions, services or representations made by the vendor provider or lack thereof in respect to any conditions that may trigger or exacerbate pre-existing medical issues and/or allergies during the Event or any third-party affiliated event.
9.4.3 ATEC is not responsible for ensuring accessibility or equal access to facilities for any venue used for the Event, or any ATEC affiliated activity or event.
9.4.4 Any requirements to ensure that you may enter, exit, occupy, enjoy, make use of, and generally participate the Event, related ATEC events and any events affiliated with ATEC, are wholly the responsibility of the venue providers.
9.4.5 ATEC is not responsible for any errors or representations made by the venue provider in respect to accessibility or equal access of facilities that may affect you whilst participating in the Event, whether operated by ATEC or a third-party affiliated entity.
